The Russian visa application can be quite confusing. In my case it is always organized through our office in Moscow and my secretary. Lucky me.
The best you can do is to send copies of your and your GF passport to your friends. They should then organize an invitation letter mentioning your passport details through some local authorities (I don't know which one for private visits-maybe your friends know).
I can imgaine that it might be wise, to aske them for 2 letters. One for both Ao and you and one for Ao and you individually, since you live in different countries.
Then based on the invitation letter, you get an invitation number and this number is also send to the embassy or consulate in your country.
Besides, money, pictures, the visa form and other usual things, you must also present a statement by your health insurance company, that your policy covers you in case you need health care in Russia.
Make sure you are not overstaying the period on your visa. Also be aware, that in case you ask for a multiple entry visa, you are obliged to submit a declaration by your docter that you are free of HIV-aids.
The above information was still applicable when I got my visa early June 2007. Some rules may have changed now, so you better enquire well.
Final tip is to take a copy of the email/fax with you in which your invitation number has been confirmed. Sometimes there are no landing cards on the plane and at Sheremetyevo or Domodemovo airport, they usually only have landing cards in Russian.
Success.
